What is a contractor referral tracker and how does Workhand handle it?
A referral tracker is a running ledger of the leads your existing customers send you and the payouts you owe those customers. Workhand builds it into the lead form. When you create a new lead you set the source to Referral, name the person who sent it, and enter the payout amount. The Referrals screen on Home shows the year, four totals (Leads Referred, Total Owed, Paid, Outstanding), and a row per referral you can check off when you cut the payout.
Is the referral tracker included on the free plan?
Yes. The referral tracker is part of the Leads feature, so any Workhand plan that includes Leads includes referral tracking. That covers Free, Pro at 34.99 per month, and Team at 89.99 per month. There is no per-lead fee, no per-referral fee, and no cap on how many referrals you can log in a year.
How does Workhand know how much I owe a customer for a referral?
You tell it. On the new lead form there is a Payout field. Whatever number you enter is what Workhand tracks as owed to the person named in the Referred by field. That could be a flat 250 dollars, a percent of the sold job, a gift card value, whatever your policy is. The app does not enforce a formula, it just holds the number and rolls it up on the Referrals screen.
How do I mark a referral payout as paid?
Open the Referrals screen on the Home tab. Find the row for the customer you just paid. Tap the checkbox on the right end of the row. Workhand flips the status to Paid, timestamps the moment, and moves the amount from Outstanding into Paid on the year totals. If you paid a customer for three referred leads at once, check all three rows and the ledger balances in one pass.
Does the referral tracker work offline?
Creating the lead with a referral source works offline the same way any lead creation works, since lead entry is part of the offline-first mobile flow. Marking rows paid needs the Referrals screen refreshed, which is a live query, so you want a signal for that step. The typical workflow is take the referral in the field, log it there, then reconcile payouts later at the truck or the office when you have signal.
Can I export the referral ledger for taxes or 1099s?
Yes. Every year you can export the referrals ledger to CSV. On mobile the export goes through the native share sheet so you can email it to your bookkeeper or save it to your files. On the web dashboard at dashboard.workhand.app the same year selector produces a CSV download. Columns include date, referred by, lead name, amount, paid status, and paid-on timestamp.
How is this different from tracking referrals in a spreadsheet?
The spreadsheet is disconnected from the leads. In Workhand the referral is the lead. When you close the deal, the customer relationship and the referral payout live in the same record, so there is no reconciliation between two systems. Your PM sees the referral flag on the lead, the office sees the payout owed, and the year totals update automatically as leads move through the pipeline.
Can my sales rep see who owes a payout, or only the owner?
Sales role users can create leads and set them as Referral, but they cannot see money widgets like the Yearly Ledger. The Referrals screen with the four stat cards is scoped to Owner and Admin roles, so payout totals stay in the hands of the person cutting the checks. Sales reps see the referral flag on the lead itself so they know context, they just do not see the running dollars owed.
